We run two US-based e-commerce brands on Shopify and need someone who can own the financial operations across both companies. This is NOT a basic data entry role — we need someone fast, accurate, and able to think critically about the numbers. If you can look at a P&L and spot what's off before we ask, keep reading.
This role starts part-time (10-15 hours/week) and can grow to full-time as we scale.
What You'll Be Doing:
Day-to-Day Bookkeeping (Both Companies):
Maintain and reconcile books in QuickBooks Online across two separate company files
Categorize and reconcile all transactions (Shopify payouts, merchant fees, ad spend, supplier payments, shipping costs, etc.)
Reconcile bank and credit card accounts monthly
Process and track accounts payable (supplier invoices, contractor payments)
Manage and organize receipts and supporting documentation
Shopify + E-Commerce Financial Tracking:
Pull and reconcile Shopify sales, refunds, chargebacks, and payout reports against QBO
Track cost of goods sold (COGS) at the product/SKU level
Reconcile third-party payment processors and marketplace payouts
Understand how Shopify transactions flow into accounting (revenue, fees, shipping, taxes, refunds)
Financial Reporting & Analysis:
Prepare monthly P&L statements, balance sheets, and cash flow summaries for both companies
Build and maintain financial dashboards or trackers in Google Sheets / Excel
Flag discrepancies, unusual expenses, or cash flow concerns proactively
Support tax preparation by maintaining clean, audit-ready books year-round
Assist with financial document preparation as needed (loan applications, lender requests, etc.)
Process & Organization:
Create and maintain SOPs for recurring financial tasks
Organize and maintain a clean digital filing system for invoices, receipts, and financial documents
Communicate clearly and proactively — if something doesn't look right, speak up
You're a Great Fit If You...
Have 3+ years of bookkeeping experience, ideally for e-commerce or DTC brands
Are highly proficient in QuickBooks Online (this is non-negotiable)
Understand Shopify reporting and how e-commerce transactions work
Are advanced in Excel and/or Google Sheets (formulas, pivot tables, lookups)
Are extremely detail-oriented and accurate — you catch your own mistakes
Can work independently and take ownership without being micromanaged
Are comfortable communicating directly with company owners
Are fast — you don't spend 3 hours on something that should take 30 minutes
Bonus Points:
Experience with multi-entity bookkeeping (two or more companies under one owner)
Familiarity with inventory-based accounting and COGS tracking
Experience preparing documents for SBA loans or bank financing
Familiarity with sales tax compliance for US-based e-commerce
Knowledge of Triple Whale, ad platform billing (Meta Ads, Google Ads), or other DTC tools
CPA, CMA, or equivalent accounting certification

Slack or similar for daily communication
Compensation & Schedule:
Starting Rate: $7–$9 USD/hour depending on experience
Starting Hours: Part-time, 10–15 hours per week
Growth Path: This role could grow to full-time (40 hours/week) as the business scales
Schedule: Flexible hours with some overlap required during US Eastern Time business hours
Payment: Weekly via direct deposit or preferred payment method
