Executive Assistant & Restoration Dispatcher

We are looking for a dedicated, full-time Executive Assistant to provide high-level phone support and dispatching for our restoration and home services business. This is a high-impact role where you will be the first point of contact for homeowners facing emergencies like water, fire, and mold damage.

This is a fully remote position, working 10:00 AM – 6:00 PM PST, 6 days a week. You must be comfortable handling inbound calls with urgency, empathy, and technical knowledge. Training on our specific workflow will be provided, but a deep understanding of the restoration industry is required.

Top Responsibilities:
Emergency Dispatch: Handle inbound calls for water/fire/mold damage, roofing, plumbing, and trauma cleanup. You will ask technical screening questions (e.g., "Is the leak active?") and dispatch estimators like Al or Hunter.

Email & Chat Management: Manage the company inbox and respond to website live-chat messages (utilizing ChatGPT and AI tools to assist with speed and professional tone).
Insurance Coordination: Intake critical insurance claim data, including claim numbers and adjuster contact information.
System Management: Use RingCentral for all communications and Microsoft Office (OneDrive) for data organization.

Requirements:
Restoration Industry Expertise: You must have previous experience working for a restoration company or general contractor. Deep knowledge of water damage protocols is mandatory.
Experience using Xactimate (preferred) or comparable property restoration estimating software.
Ability to create, review, and revise estimates for water, fire, mold, storm, or reconstruction projects.
Familiarity with insurance carrier estimating standards and pricing databases.
Communication: Exceptional English skills with a friendly, professional phone presence. You must be able to answer calls within three rings.
Reliability: Ability to work a consistent 48-hour weekly schedule (Monday–Saturday).
Spanish Proficiency: This is a major "nice-to-have" bonus.
