Job Title: Healthcare Compliance Virtual Assistant

Hours: Full-time


Farrington Care is looking for a highly organised and detail-focused Healthcare Compliance Virtual Assistant to support our care and nursing homes with monthly compliance monitoring, record checking, audits, and evidence gathering.

This role is ideal for someone with experience in adult social care, healthcare administration, compliance, governance, CQC preparation, or care home documentation. You will work closely with the management and compliance team to ensure key records are kept up to date, accurate, and ready for inspection.


Key Responsibilities

You will support Farrington Care by checking, updating, tracking, and reporting on key compliance areas every month, including:

Safe Care
You will help monitor and write risk assessments, a ---------- and i ---------- logs, safeguarding records, recruitment files, DBS checks, overseas recruitment checks, equipment safety records, fire safety records, PAT testing, LOLER checks, legionella, gas and electrical safety, window restrictor checks, and environmental risk assessments.

Effective Care
You will support with checking care plans, nutrition and hydration records, food and fluid charts, weight monitoring, MUST assessments, staff induction records, training matrices, supervision records, appraisals, MCA assessments, best interest decisions, DoLS authorisations, consent records, and evidence from external professionals such as GPs, SALT, dietitians, chiropodists, and community nurses.

Caring
You will help ensure homes have appropriate evidence of person-centred care, including life history documents, “about me” information, cultural and religious preferences, end-of-life wishes, DNACPR/ReSPECT documentation where applicable, and evidence that residents and families are involved in reviewing care.

Responsive Care
You will support the team in checking that care plans are personalised and reflect individual needs and preferences. You will use AI to write care plans. You will also help monitor activities records, newsletters, repositioning charts, complaints logs, maintenance logs, and daily care notes to ensure they match care plans and risk assessments.

Well-Led
You will assist with preparing and maintaining evidence for CQC compliance, including Provider Information Return information, statutory notifications, resident and relative surveys, action plans, resident and staff meeting minutes, management meeting minutes, audit schedules, medicines audits, care plan audits, health and safety records, duty of candour records, and evidence that CQC ratings and reports are displayed correctly.

Nursing Home Compliance
For our nursing homes, you will also support with tracking NMC PINs, nurse revalidation dates, clinical supervision records, controlled drugs governance, syringe driver records, covert medication records, wound care and tissue viability documentation, pressure ulcer records, verification of expected death records, end-of-life clinical documentation, and rotas showing registered nurse cover.

Main Duties

Your day-to-day duties may include:

Checking monthly compliance trackers
Reviewing care home documentation for missing information
Following up with managers and staff for outstanding records
Updating audit schedules and action plans
Preparing monthly compliance summaries
Monitoring training, supervision, appraisal, and recruitment records
Checking that i ---------- , safeguarding concerns, complaints, and actions are properly recorded
Supporting with CQC evidence preparation
Helping prepare documents for inspections, provider visits, and governance meetings
Escalating urgent compliance gaps to senior management
Keeping clear records of what has been checked and what still needs action

Able to chase actions professionally and persistently
Comfortable working remotely
Able to manage multiple homes, trackers, and deadlines
Good at written communication
Able to identify gaps, inconsistencies, and missing evidence
Confident using Microsoft Excel, Word, email, and online systems
Discreet and able to handle confidential information appropriately
