Senior QBO Bookkeeper & Accounting Administrator (US Hours)

About Us:
We are a premier US-based outsourced CFO and accounting firm managing financial portfolios across a variety of dynamic industries (e-commerce, professional services, medical, and legal). We are looking for a highly organized, reliable QuickBooks Online (QBO) Specialist to join our core team.

This is a long-term, full-time remote position working concurrently with our US team during Central Standard Time (CST).

The Role:
We do not need a CFO; we need a flawless executor. As a boutique firm, we move fast. Our workflows and task management live in ClickUp, but we do not have a rigid SOP for every single click. We rely on your foundational accounting knowledge, adaptability, and critical thinking to connect the dots. You must be the kind of professional who drills down into a discrepancy to find the root cause rather than guessing or waiting to be told what to do.

Core Responsibilities:

Daily QBO Management: Own the QuickBooks Online environment. Categorize bank feeds accurately, resolve uncategorized transactions, and execute meticulous monthly bank and credit card reconciliations.

Accounts Payable & Receivable: Manage weekly bill payments for large clients, verify invoices, and match customer payments accurately.

Financial Administration: Actively manage client communication channels. Save financial PDFs, archive emails, and maintain a highly organized inbox system.

Data Integration: Handle third-party data flows, including batching and recording deposits from credit card merchant processors and other third-party platforms, as well as scheduling estimated tax payments.

Quality Control: Review the categorization work of junior staff members, identify errors, and correct them before month-end close.

Requirements:

Experience: 3+ years of dedicated experience working inside QuickBooks Online for US-based businesses. QBO ProAdvisor Certification is highly preferred. Experience with NetSuite is considered a strong plus.

Autonomy & Adaptability: You must possess the ability to problem-solve independently. You thrive in a ClickUp-driven environment and can execute tasks accurately without needing step-by-step hand-holding. If you hit a roadblock, you bring your manager a proposed solution, not just a problem.

Tech Stack: Comfortable using Slack, ClickUp (or similar project management tools), and secure time-tracking software. Willingness to learn AI tools (ChatGPT/Gemini) to improve efficiency.

Communication: Exceptional written English for clear, professional communication with our internal team and occasional client emails.

Infrastructure: A quiet, dedicated workspace, dual monitors, and high-speed, highly stable internet. You must be available to work standard US daytime hours (CST).

Compensation: * Competitive hourly rate commensurate with experience and QBO certifications.

Paid weekly via Wise, Xoom, Venmo, PayPal, Zelle, Cash App, ACH, or Wire.
