Salary: £565 per month
Working Hours: 20 hours per week
Purpose of the Role
The Shipping & Logistics Coordinator is responsible for coordinating domestic and international shipments, ensuring customer orders are dispatched accurately, on time and in accordance with customer and regulatory requirements.
Working under the direction of the Logistics & Manufacturing Coordinator, the role supports the day-to-day execution of logistics activities, maintains shipping documentation and ensures customers receive timely updates throughout the delivery process.
Responsible For
Shipment Coordination
Coordinate domestic and international shipments.
Book courier, air freight and sea freight services.
Arrange collections from suppliers and manufacturing partners.
Coordinate shipment schedules with customers and freight providers.
Monitor shipment readiness.
Ensure deliveries are dispatched on schedule.
Shipping Documentation
Prepare commercial invoices.
Prepare packing lists.
Coordinate export documentation.
Prepare shipping labels.
Maintain shipment documentation.
Ensure all documentation is complete prior to dispatch.
Delivery Tracking
Track shipments from dispatch through to delivery.
Monitor courier and freight performance.
Provide customers with shipment updates and tracking information.
Resolve shipment delays with logistics providers.
Confirm successful customer delivery.
Logistics Administration
Maintain shipment registers.
Update HubSpot and internal logistics trackers.
Record shipment costs.
Maintain freight documentation.
Produce weekly logistics reports.
Maintain accurate shipping records.
Manufacturing Coordination
Working alongside the Logistics & Manufacturing Coordinator by:
Coordinating shipment readiness with manufacturing partners.
Confirming products are available for dispatch.
Coordinating packaging requirements.
Supporting warehouse and inventory activities where required.
Escalating manufacturing or logistics delays.
Customer Support
Respond to customer shipping enquiries.
Provide estimated delivery dates.
Coordinate delivery schedules.
Support customer documentation requests.
Ensure customers receive timely delivery communications.
Continuous Improvement
Improve shipping processes.
Reduce shipping delays.
Support freight cost reduction initiatives.
Improve logistics reporting.
Identify opportunities to improve delivery performance.

Essential
Experience in shipping, logistics or freight coordination.

Desirable
International shipping and export documentation experience.
Experience working with freight forwarders and courier companies.
HubSpot or CRM experience.
