We are evaluating three things: your spoken English, your ability to navigate software on camera, and how you organize information. No video = automatic rejection. No exceptions.

WHO WE ARE

R3volution AD Services, Inc. is a Houston-based digital marketing, AI platform development, and government contracting firm, operating since 2017. We build custom AI-powered systems — including our own proprietary CRM and AI voice-calling platform — for clients in healthcare, legal, manufacturing, and the public sector. We are lean, fast, and building aggressively. You will report directly to the Founder & CEO.

This is NOT a task-rabbit VA role. This is an operations seat at a growing agency. You will touch marketing, publishing, automation, project management, and sales operations. WHAT YOU WILL ACTUALLY DO

1. Systems & Automation Integration


Connect our social networks, marketing platforms, and tools into our central operations dashboard (Zapier, native integrations, webhooks)
Build, test, and maintain automations: lead capture ? CRM ? notification ? follow-up sequences
Learn and operate our proprietary custom CRM (full training and documentation provided — your job is to master it, run it, and document it; development changes are approved by the CEO only)


2. SOP Documentation & Quality Assurance


Write clear, step-by-step SOPs in Google Docs for every recurring workflow in the company
Run QA test passes on our systems (booking flows, follow-up sequences, reminder automations) and deliver written bug reports with screenshots
Maintain the company SOP library so any future hire can be trained from documentation alone


3. Content & Social Growth Operations


Manage the video content pipeline: the CEO records the videos — you coordinate editing, captioning, scheduling, and posting across platforms (Facebook, Instagram, LinkedIn, YouTube, TikTok)
Track engagement, capture inbound leads from social into the CRM, and report weekly on what content is producing conversations
Manage ManyChat (or equivalent) flows for social lead capture and qualification


4. Publishing Operations (2 Books Per Quarter)


Run the book production pipeline: manuscript milestones, formatting, cover coordination, Amazon KDP upload, and launch promotion checklist
Keep the publishing calendar on schedule — two titles per quarter, every quarter


5. Project & Sales Operations Oversight


Track all active projects in our project management tool: owners, deadlines, blockers — and flag risks to the CEO before they become fires
Support sales operations alongside the CEO: CRM pipeline hygiene, appointment tracking, follow-up task management, weekly pipeline reports
Assist in developing and scoping new projects and offers as the company grows


REQUIRED SKILLS & TOOLS
We have our own Custom CRM, so it helps if you have exp. in these.

Zapier (must be able to build multi-step Zaps with filters/paths)
ManyChat or equivalent chat automation platform
At least one major CRM (HubSpot, GoHigh-Level, Zoho, Salesforce, or similar) — AND the ability to learn our custom-built CRM quickly
LinkedIn, Meta Business Suite, and multi-platform social scheduling
Google Workspace (Docs, Sheets, Drive) at an advanced level
Canva (basic graphics/formatting)
Excellent written and spoken English — you will communicate with the CEO daily by voice and in writing
Self-starter discipline: you Google it, you test it, you document it — THEN you ask a smart question if still stuck


Bonus (not required): Amazon KDP experience, Miro/flowcharting, Notion or ClickUp, basic understanding of webhooks/JSON, video editing coordination experience.

NON-NEGOTIABLE REQUIREMENTS

Time-zone overlap: minimum 3–4 hours of your working day must overlap with Houston, Texas business hours (US Central Time). State your committed overlap hours in your application. During government proposal season, responsiveness during those hours is mandatory.

COMPENSATION & TERMS


Starting at: $600–$800 USD per month, full-time, depending on demonstrated skill level — paid reliably via Deel
Pre testing task for shortlisted candidates BEFORE any hiring decision — Your time
7-day probation with clear daily deliverables, then confirmation to permanent full-time
Performance reviews with a real growth path — this seat grows into an Operations Manager role as the agency scales
Long-term stability: we have operated since 2017 and we are building for the next decade

THE ROLE — WHAT YOU ARE WALKING INTO
Read this part twice, because we're not going to dress it up.
R3volution AD Services is not one website. It's a portfolio: a commercial digital marketing division, a manufacturing/B2B marketing division, proprietary AI platforms we've built and are bringing to market, a custom CRM with an AI voice-calling system, an active government contracting pipeline, and a Founder/CEO who publishes and launches constantly. You will not manage those other properties — but you will be the operator who makes sure that when something ships from anywhere in this house, the machine around it fires perfectly. The CEO writes a book — you're rolling out the campaign: socials, blogs, email, launch calendar, all scheduled before launch day, not after. A platform hits a milestone — same. You need to know the whole board even when you're only moving your pieces.
You report directly to the Head CEO / Founder. You lead the tea ---------- etings — editors, contributors, project contributors answer into you, and you answer to him. You will sit in meetings with potential clients. And yes: you are expected to help bring accounts into this company that carry real value. Your day-to-day is built to produce that. If you're looking for a seat where you quietly manage tasks in the background, this is the wrong posting. If you are beyond hungry to build your name in the digital media marketing space on a stage that's already moving — this is the one.
MANDATE ONE — FUNNEL INTEGRITY (your first standing priority, day one)
Before anything else, you own the pipeline end to end: every landing page loads and converts, every form fires, every workflow routes, every automation completes — lead in, appointment booked, confirmation out, follow-up scheduled. You audit it, you fix routing gaps, you document it, and then you keep it at 100%. Nothing in this company gets marketed into a broken funnel. This is not a one-time project — it's the floor you defend every week while you build everything else on top of it.
DAILY OPERATING RHYTHM
Revenue Block — every day:

Work the inbox like it's money, because it is: every inquiry, referral, and warm reply triaged and answered same day — nothing ages 24 hours
Sit in and support meetings with potential clients; own the follow-up — recap sent, next step booked, CRM updated before end of day
Build and work the target account list in our niches (healthcare, legal, manufacturing): research, outreach support, opportunities flagged to the CEO with context — your pipeline contribution is tracked weekly, and it's expected to grow

Command Block — every day:

Run the team: assignments clear, editors and contributors unblocked, deadlines enforced — problems come to you first and reach the CEO only with a proposed solution attached
Move every active project one step forward daily — book pipeline, content pipeline, launch prep, client deliverables. Idle projects are your failure, not the team's

Production Block — every day:

Content live across all platforms on schedule; yesterday's numbers scored — what earned reach, what earned leads, what gets cut
Every new lead captured, tagged, routed, follow-up set — zero leads untouched past 4 business hours
One improvement shipped daily: an SOP written or updated, an automation extended, a funnel asset tightened. The backlog is public and never empty — if you're waiting for work, you've failed the role

LAUNCH READINESS — ALWAYS ON
You maintain a launch playbook for every property in the portfolio, so when the CEO says "it ships," you're executing a campaign that already exists — social calendar, blog schedule, email sequence, landing page verified — not starting a document. A launch you learned about the day it happened is a launch you were supposed to already be ready for.
WEEKLY — YOU RUN THE MEETINGS

Monday — YOU book and run the Weekly Ops Briefing with the CEO (15 minutes, agenda sent the night before): funnel status, pipeline and account numbers, launch readiness, team output, and the decisions you need. You bring answers. The CEO's calendar is for new business and new direction — every other meeting in this company is yours to run
Midweek — you run the tea ---------- eting: deliverables reviewed, next week loaded, underperformance addressed by you
Friday — Ship Report: everything shipped, scored against target; next week's content and milestones pre-loaded; one growth proposal — an offer, automation, or account play you recommend, with the why. Every Friday. The #1 agency doesn't wait for the CEO to invent the next move

MONTHLY — WHAT YOUR NAME GETS BUILT ON

Month-end Growth Report: funnel conversion, accounts advanced, revenue contribution, content trend, launch pipeline status
One client-facing asset shipped monthly (case study, lead magnet, campaign template) the sales side can deploy
Team performance review delivered to the CEO — who's producing, who's not, and your recommendation
