About Us

We’re looking for a Virtual Assistant (VA) with proven experience in inbox management, CRM organization, and pipeline follow-up for marketing agencies. You’ll play a critical role in ensuring our outbound campaigns through Instantly.ai are well-managed, and our pipeline receives timely, professional follow-ups.

Responsibilities

- Manage and respond to incoming leads/messages in Instantly.ai using company-provided templates.

- Ensure timely follow-ups with prospects in the pipeline to maximize engagement and conversions.

- Maintain a clean, organized CRM/pipeline with accurate updates on prospect statuses.

- Identify high-priority opportunities and escalate them to the leadership team.

- Ensure consistent tone and professionalism in all communication, aligned with our brand.

- Track performance of outreach campaigns and provide feedback for optimization.

- Coordinate with internal teams to keep communication workflows efficient and streamlined.

Requirements

- Proven experience in inbox management, pipeline follow-up, and CRM organization for marketing or sales agencies.

- Hands-on experience with Instantly.ai (non-negotiable).

- Strong written and spoken English communication skills.

- Reliable home office setup (stable internet, laptop/PC, backup power preferred).

- Highly detail-oriented and organized; capable of handling high-volume outreach environments.

- Professional, proactive, and committed to consistent daily performance (6–8 hours/day).

- Serious about long-term employment and growth with the company.
