Virtual Assistant — Compliance & Admin, Electrical Contracting (Australia) — Part Time, Long Term

ASJ Electrical Solutions is an electrical contracting business in Queensland, Australia. We coordinate subcontractors doing solar inspection, metering and compliance work on existing systems for commercial clients. The director currently handles all the admin himself and it's time to hand it to someone organised and reliable.

This is a long-term role for the right person. Start at 10–15 hours/week, USD $5–6/hour depending on experience, growing as you prove yourself.

What you'll be doing:

Subcontractor compliance — keeping our register up to date, chasing insurance certificates and licences before they expire, sending follow-up notices, flagging anything missing before a job goes out. This is the most important part of the role. Nothing gets scheduled if the paperwork isn't current, and you're the one holding that line.

Invoicing/Quoting — creating draft invoices/quotes in MYOB from completed jobs using our job codes. The director approves everything before it goes out.

Job admin — updating our Airtable job tracker, creating job files/folders in Google Drive, keeping records tidy.

Email — managing a shared inbox, sorting what needs the director's attention from what doesn't.

Tools we use: Airtable, MYOB, Google Workspace (Gmail, Drive), SafetyCulture, FastField, Claude AI and Gemini. We use AI tools daily to draft documents and run our procedures, so you need to be comfortable working with them — we'll show you our setup. Experience with Airtable or MYOB is a big plus, but we'll train the right person. Basic WordPress experience is a bonus, not required.

You should be:

Extremely detail-oriented. A missing insurance certificate is a big deal in our industry.
Comfortable following written procedures exactly and asking when something doesn't fit the procedure rather than guessing.
Confident using AI tools (Claude, ChatGPT or Gemini) as part of your daily work, not just occasionally.
Reliable, with a consistent schedule and some overlap with AEST business hours.
Strong written English.
